ESSENTIAL RESPONSIBILITIES:
  • The Special Assistant to the Vice President of Institutional Advancement provides executive support to Vice President of Institutional Advancement (VPIA) in alignment with the mission and values of the University and the vision of the Vice President.
  • Balancing a mix of operational and strategic responsibilities, the SA anticipates, coordinates, organizes, follows up and may lead meetings, events, projects, and priorities in support of the Office of the Institutional Advancement efficiency and success.
  • May be required to represent the VPIA in his/her absence.
  • Supports strategic initiatives, from development through successful execution under the guidance of the VPIA and department heads.
  • Directly leads the development, management and execution of plans, status reports and deliverables for multiple projects, research, and priorities as assigned.
  • In particular, the Special Assistant to the VPIA will work to ensure effective and efficient management funding activities within the Division of Institutional Advancement, including compliance and implementation of current policies and procedures in conjunction with the respective offices across the division and university.
  • Will ensure follow up and development of procedures related to the maintenance of human capital, particularly those related to staff.
  • As part of the Office of Institutional Advancement Leadership Team, participates in strategic planning, goal setting, program management, initiative implementation, reporting, and is a vital contributor in the efforts to create, implement, assess, and improve processes and procedures required to meet office objectives.
  • Supports administrative operations for the Office of Institutional Advancement and develops relationships with the office staff for increased efficiency and responsiveness of existing operations and defining new operational strategies.
  • Strengthens employees by being communicative and a talent builder that develops team attributes, furthering departmental goals.
  • Lead daily operations in collaboration with AVP and department leaders and perform administrative tasks for VPIA such as managing calendars, generating correspondence, maintaining hard copies and electronic files, planning and coordinating meetings, and scheduling.
Required Qualifications

EDUCATION:
  • Bachelor's degree required.
EXPERIENCE:
  • Experience in operations management, human resources, and proven success in a project management role.
  • Strong project-reporting skills, with focus on interdepartmental communications.
  • Experience in implementing strategic initiatives and conducting analyses with demonstrated operational, organizational, communication, and project management skills.

  • Ability to work closely with, and on behalf of the VPIA and other members of Institutional Advancement and institutional leadership teams, as well as other institutional constituents.
  • Ability to communicate as well as lead in a collaborative style by gathering input from stakeholders through active listening and respect of opinions.
  • Ability to establish trust and facilitate complex discussions with varying opinions arriving at agreeable solutions/decisions.
  • Lead diverse teams to support the operational mission and vision of employers by fostering an ethical, inclusive, and collegial work environment.
