Summary Position
The Administrative Assistant is responsible for providing administrative support to the Dean of Student Inclusive Excellence and the Gender and LGBTQIA Center. This individual manages daily administrative functions and projects for the Dean of Student Inclusive Excellence and coordinates processes and procedures related to the departments that report to the Dean. This individual also supports administrative operations and financial transactions for the Gender and LGBTQIA Center. The position utilizes exceptional organizational, interpersonal, and customer service skills via phone, email, and individual contact. This is a 40 hour/week, 12-month on-site position

Education Requirements
Bachelor’s degree required
For candidates who do not possess an earned bachelor’s degree, an associates degree plus four or more years of additional related experience and/or training may be substituted.

General Purpose of Position

This individual also supports administrative operations and financial transactions for the Gender and LGBTQIA Center. Essential Duties and Responsibilities
· Provide administrative support to the Dean of Student Inclusive Excellence, answering/transferring phone calls, assisting with scheduling appointments and maintaining calendars, managing supply inventory, coordinating mail, etc.· Maintain paper and electronic files and records related to programs and projects, committees, personnel, and budgets· Assist with budget transactions and reports (check requests, purchase orders, expense corrections, and transfers of funds)· Allocate/reconcile procurement card charges for Dean of Student Inclusive Excellence and the staff in the Gender and LGBTQIA Center· Maintain a professional and welcoming office environment (including time spent in both the Dean of Student Inclusive Excellence office area and the Gender and LGBTQIA Center); greet visitors to the office, answer/transfer phone calls, check office voicemail, field general questions and direct specific requests to the appropriate staff or student leaders· Create strong partnerships and maintain effective communication with other departments within Student Life and across the university, including students, faculty, staff, and alumni· Assist with coordinating and scheduling various committee and group meetings· Coordinate event management logistics for meetings and events, including space reservations and set-up requests, catering orders, media requests, and van bookings· Assist with preparing documents and reports for projects and committees· Assist with coordinating materials and processes related to professional staff employment searches· Initiate and manage work requests through accounting, human resources, mail services, facilities management, print shop, purchasing, and other campus departments· Track budgets monthly and report regularly to Dean of Inclusive Excellence and Director of GLC · Administer requests and reporting processes for staff travel, professional development, sick leave, and vacation· Maintain confidential files and information· Other duties as assigned by the Dean of Student Inclusive Excellence and the Director of Gender and LGBTQIA Center
Education and Experience
· Bachelor’s degree with two or more years of related experience is preferred· Experience with budget management, data entry, and customer service· Knowledge of and experience with Microsoft Office (Word, Excel, PowerPoint, and Outlook), with skills in word processing, budgeting and data management
