Position Overview


Primary Purpose of Position
This position is dedicated to coordinating business and financial processes, reports, and records for the Civil, Architectural, and Environmental Engineering department.
Primary Function of Organizational Unit

The Civil, Architectural and Environmental Engineering (CAEE) Department within the College of Engineering is a uniquely interdisciplinary association of faculty and students with complementary interests and expertise. The CAEE Department is committed to quality teaching, research and advising. The department takes great pride in preparation of students to excel in their professional careers. The department encompasses two undergraduate programs: Civil Engineering Architectural Engineering.
Work Hours 8:00 A.M. - 5:00 P.M., Monday - Friday, (some evening work may be required)
Key Responsibilities and Related Competencies


Required Competency Communication
  • Serve as a key resource in providing guidance and information to faculty regarding state budget and research award requirements.
  • Works with the faculty resolving budget related issues.
  • Communicates effectively with designated university offices (Salary Administration, Human Resources, Contracts and Grants, Division of Research and Economic Development, Travel, etc.) to budget compliance requirements.
  • Initiates contact with vendors for purchase orders; with Financial Services for accounting information; and Purchasing for purchasing inquiries.
Required Competency Business and Records Administration
  • Knowledge of the department’s budgets and with university financial policies and procedures must be applied in this position.
  • Assists with preparing budget revisions, requisitions, time and effort reports and annual/quarterly reports due to funding agency.
  • Ensures budgets are properly documented as approved by the state or in awarded grants and/or contracts. The approximate dollar value in current awards is $2 million. Advises and assists faculty on budgetary issues to aid them in achieving project deliverables in a timely and compliant manner.
  • The position is also responsible for:
      1. Interpreting, preparing, and implementing accurate award budgets and documentation in compliance with University policies, agency and Federal regulations,
      2. Examining the departmental accounts for accuracy, correct rates, and whether proposed items comply with fund rules,
      3. Assisting faculty members with the purchase orders for equipment for research projects when instructed by the department chair,
      4. Assisting faculty members with travel arrangements (e.g., travel authorization request and reimbursement, flight and accommodation, check request, etc.)


Required Competency Financial Management
  • Managing Business and Work Records Administration:
      • Provide expertise to CAEE Department to manage and organize purchasing request for equipment/materials needed for the department which may include but not limited to processing and maintaining paperwork such as purchase orders, requisitions, invoices, obtain required and necessary information from vendors (quotes, W9, etc.), and follow through after the purchase.
      • Maintains and reconciles budgets for departmental accounts; monitors expenditures and performs simple analysis on accounts. Departmental accounts total $2,000,000 annually; operating budget is approximately $35,000 annually. Expense reports are provided to Chair on a monthly basis.


Required Competency Information Analysis and Decision Making
  • The position is also responsible for
  • assisting faculty and the chair with writing and submitting annual and research reports, assisting the faculty to obtain data as well as assisting faculty in uploading data in the university’s research database (RAMSeS), and (3) serving as the department’s liaison for Human Resources, Salary Administration and Research as well as others as necessary to ensure all guidelines and policies are followed according to funding agency. This position is delegated authority as Chair’s proxy in the PeopleAdmin system to manage position changes and report on departmental salaries. This position also has access to the following Banner HR forms to manage the budget: Internal Salary Authorization Form, Graduate Hourly and Undergraduate Student Employment Recommendation Form, Temporary Employment Vacancy Request Form, etc.
