Reporting to the Sr. Associate Director, Operations and Administration, the Operations Coordinator serves as the team's primary employee managing all aspects of reception including greeting visitors, mainly students, recruiters. and alumni. The Operations Coordinator maintains a knowledgebase and responds to all inquiries in person, via phone, or “MBA Careers” (MBACM general email inbox) relating to MBA Career Management's online platforms and resources, programs, policies, services, and initiatives. This position also manages the check-in process for advising appointments (in-person) and office hours (virtual).

Job Description

The Operations Coordinator is responsible for managing all aspects of the reception space as well as the calendar and requests for conference rooms and flex space. This position contributes to the overall flow of office by providing superior customer service and operational support.

Collaborative efforts are a key aspect of the position, requiring participation in weekly operational team meetings to offer insights and suggestions for general process improvements. This role involves co-managing small-scale facilities requests and projects within the office, liaising with the building manager and Wharton operations, and leading general office duties such as organization, inventory management, ordering and restocking, and mail sorting.

The Operations Coordinator provides significant support to student- and employer-facing initiatives such as pre-term, Employer Opportunity Week, first- and second-year MBA interviews, and Enterprise Lab including behind-the-scenes preparation and attendance at events as needed. Additionally, they undertake ad-hoc project work and serve on various committees throughout the year. Lastly, the Operations Coordinator maintains relationships with peer schools to uphold established reciprocal agreements, processing visitation requests from students and peer schools, ensuring compliance with reciprocity guidelines, and keeping records updated.

Overall, this role requires strong organizational skills, attention to detail, and the ability to collaborate effectively with internal and external stakeholders to maintain operational efficiency and support the overall objectives of the MBA Career Management office.

QUALIFICATIONS:
  • Bachelor's Degree preferred; H.S. diploma or GED required.
  • 5 years of experience required or equivalent combination of education and experience.
  • Knowledge of MBA landscape /recruiting process a plus
  • Strong written and oral communication skills
  • Excellent customer services skills with the ability to interpret as well as explain procedures and exercise good judgement
  • Willingness to go above and beyond in order to achieve the required goals
  • Ability to function with high degree of independence with a varied set of responsibilities, yet interact with colleagues in a centralized framework and contribute to a total team effort
  • Solid knowledge of Microsoft platform, including Word, Excel, Powerpoint as well as comfort with using various online platforms
